Reservations

  • Reservation deletion from sales channels and/or change their status remain in the system and are not uploaded to the extranet.
  • Change of check-in and check-out dates (number of days of stay) is carried out ONLY in extranets of sales channels.
  • In case of not settling the guest, the status of “No show” can be noted in the system. In reservation view mode the corresponding section Channel data. Press the “no-show” button within 48 hours from the date of arrival. This action is logged in the change history, a request to cancel the reservation is sent to the channel, after which booking.com sends the cancellation of the reservation and it is canceled — the No show is fixed on the extranet.

Rules for working with Booking.com

 

  • Credit card details are entered into the system in DC Booking.com section only if the guest submits them when make booking.
  • When downloading reservations from an extranet that were created before connecting to the channel manager, reservations come with incomplete information, only the first name, last name of the guest, cost of living, booked room type and dates of stay are indicated. Other data, if necessary, must be entered manually.

After importing reservations created before connecting to the channel manager, the placement object must check all incoming reservations in the system within the first day after connection.

  • CATEGORICALLY NOT RECOMMENDED to move the reservation received from the channel to another room type, because in case of canceling the reservation by a guest or channel, both room types will be available for sale, which may be a reason of OVERBOOKING.

 

Rates

  • Standard rate – rate is calculated on the nominal number of people (the number indicated in the room type description).
  • Changes in the cost of living depending on the number of people can be indicated on the extranet as a formula with specified parameters that are not controlled by the Channel manager. To change the formula, contact the Booking.com account manager.
  • Rate management via channel manager is carried out depending on the rate settings on the extranet.
  • Promotional and discount rates are managed via extranet, the room type prices in these rates are inherited from the standard rate, the discount amount is indicated on the extranet, and restrictions for such rates are indicated on the extranet.
  • In case the rate is no longer used in the accommodation facility. There are 2 options for stopping sales at the rate. It is recommended to remove or deactivate the rate on the extranet of the channel independently or through the account manager. If this is not possible, then it is necessary to create a new restriction rule, close sales for all room types in the restriction desk, link it to the rate and make additional unloading.

 

Restrictions

Restrictions affect the possibility of booking at the rate:

  • Closed – closing of all rooms of the room type for sale at the rate to which the restriction is attached.
  • Closed for arrival – closing the room type for arrival at the rate to which the restriction is attached (if the arrival date coincides with the day closed for arrival, the guest will not be able to book a room.).
  • Closed for departure – closure of the room type for departure at the rate to which the restriction is attached (if the departure date coincides with the day closed at the exit, the guest will not be able to book a room).
  • Minimum length of stay – indicates the minimum number of days of stay on reservations at the rate to which the restriction is attached, crossing the date on which the restriction is set.
  • Maximum length of stay – specify the maximum number of days of stay for reservations, crossing the date at the rate to which the restriction is attached, for which the restriction is set.
  • Minimum length of stay on arrival – not applicable.

In case of adding new rates, room types, types of accommodation on the extranet, it is MANDATORY to do a matching with the system and unloading.
After fundamental changes and additional unloading it is MANDATORY to do the verification of information in extranets of channels.
You have to do additional unloading in case of:

  • First connection to the channel
  • Changes in allocation management of the channel
  • Changes in the duration of the demand period (season)
  • Adding/deleting rooms in an existing room type
  • Matching of new room type/rate/restrictions with a sales channel
  • After synchronization is turned off to optimize the Front desk and then turn it on

Technical support staff don’t have access to extranets of accommodation facilities registered in OtelMS, respectively, the relevance of the data on the extranet must be checked independently.
